This policy explains what information Routelane LLC collects when you visit this website or use our dispatch service, why we collect it, and who we share it with.
1. Who we are
Routelane LLC (“Routelane”, “we”, “us”) provides truck dispatch services to motor carriers and owner-operators in the United States. We are a dispatch service. 2. Information we collect
Information you give us
- Contact details. Your name, phone number, email address, the type of truck you run and anything you write to us. The contact form on this site opens a message in your own email app, so we receive these details only when you send that email.
- Calls and messages. The content of phone calls, text messages, WhatsApp messages and emails you exchange with us.
- Onboarding documents. To dispatch your truck we ask for your MC number and authority details, a completed IRS Form W-9 (legal name, address and taxpayer identification number), a certificate of insurance, your factoring company's notice of assignment if you use one (which contains payment details), and a copy of the driver's commercial driver's license. If you ask us for a compliance check, we also review drug and alcohol testing records, medical certificates and electronic logging device records.
- Operating details. Equipment type, preferred lanes, rate requirements, driver names and phone numbers, truck location and availability, and the loads we book for you, including rate confirmations and delivery paperwork.
Information collected automatically
- Server logs. Our hosting provider records standard technical data when a page is requested, such as IP address, browser type, the page requested and the time.
- Photographs. Some photographs on this site load from a third-party image service, which receives your IP address and browser details when an image is requested.
This website does not use advertising trackers, and we do not use analytics cookies to build a profile of you.
3. How we use information
- To reply to enquiries and decide together whether our service is a fit.
- To provide the dispatch service: searching for loads, negotiating with brokers, completing carrier setup packets, sending rate confirmations and delivery paperwork, and staying in contact with you and your drivers.
- To invoice and collect our dispatch fee.
- To keep records that the law, our insurers or our accountants require.
- To protect against fraud, including identity theft and double brokering.
- To maintain and secure this website.
4. Who we share information with
We do not sell personal information, and we do not share it for cross-context behavioural advertising. We share information only as follows.
- Brokers, shippers and load boards. Booking freight for you requires us to send your carrier details and documents to the freight brokers, shippers and load board operators you want to work with. They handle that information under their own privacy policies.
- Factoring companies. If you use one, we send it the paperwork it needs to pay you.
- Service providers. Companies that provide us with website hosting, email, telephone and messaging, document storage and accounting. They may use the information only to provide those services to us.
- Legal and safety reasons. When the law requires it, or when it is needed to protect the rights, property or safety of Routelane, our carriers or others.
- Business transfers. If Routelane is sold or merged, records may pass to the new owner, who must continue to honour this policy.
5. Calls, texts and WhatsApp
When you give us a phone number, you agree that we may call or message that number about your enquiry and, if you become a client, about your loads. Message and data rates may apply. You can ask us to stop at any time by replying STOP to a text or by telling your dispatcher. We will still need a way to reach you about loads that are in transit.
6. How long we keep information
We keep enquiry details for as long as the conversation is active and for a reasonable period afterwards. We keep client documents and load records for as long as you are a client and afterwards for as long as tax, accounting and legal rules require. When information is no longer needed we delete it or make it anonymous.
7. How we protect information
Access to carrier documents is limited to the staff who need them to do their work. We use password protection and reputable service providers to store documents. No method of storage or transmission is completely secure, so we cannot guarantee absolute security. Please send documents only through the channels your dispatcher gives you.
8. Routelane TMS
Routelane TMS is an internal system for our dispatchers. The sign-in page is restricted to registered Routelane dispatchers. Carriers and website visitors do not need an account and should not enter credentials there.
9. Your choices and rights
You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. We will delete it unless we need to keep it to complete a load, collect a fee that is owed, or meet a legal obligation. Depending on the state you live in, you may have further rights under state privacy law, including the right to appeal a decision we make about your request. To make a request, email routelanellc@gmail.com. We will not treat you differently for exercising these rights.
10. Children
Our service is for businesses and adults. We do not knowingly collect information from anyone under 18.
11. Where information is processed
Routelane and its service providers may process information in the United States and in other countries where we or they operate. Wherever it is processed, we apply the protections described in this policy.
12. Third-party names and links
This site names load boards and freight brokerages and links to outside sources for market data. Those companies are not affiliated with Routelane, and their websites have their own privacy policies.
13. Changes to this policy
If we change this policy we will post the new version here and update the effective date. If a change is significant, we will tell current clients directly.
